Public folders are useful purely for grouping documents logically. Private folders (and the documents within them) can only be seen by the creator of that folder

How it works

When looking at the document section of an applicant or talent pipeline candidate you will see one or more folders. All candidates in the system will have a default folder (any documents uploaded to the point this feature went live, or any documents uploaded by the candidate themselves will exist in the default folder

Users need to be given the following role to create folders

Users with that role have the option to create a new folder. The folder needs a name and the user can decide to mark the folder as private or not

Only the creator of a folder can edit the name or private status once the folder has been created. Documents can be added into any folder the user is able to see. I.e. You can add documents to public folders created by other users, but obviously you will not be able to see private folders created by other users

Why should you care?

The concept of a private folder was added to address a couple of requirements.

  1. Some documents are very sensitive (DBS checks as an example) and are only legally allowed to be viewed by the person that receives it from the applicant (usually the interviewer). They can upload that document to a private folder which means it’s accessible if ever needed, but not viewable by other users
  2. Some clients manage the sending of offers outside of the platform entirely. This gives them a place to upload offers that aren’t generally accessible

Public folders are just a way of logically grouping documents being uploaded for example you might create a portfolio public folder and upload portfolio documents for an applicant rather than putting everything in the default folder
